BARRY CHESS CLUB JOB DESCRIPTIONS
CHAIRMAN
- To manage club committee and general meetings:
- To conduct meetings in a manner that enables everyone to have their say and to move to a vote if necessary.
- To ensure that decisions taken by the committee are carried out.
- To represent the club and to promote the club to outside bodies, other clubs and to members: to act as a focal point for information and encourage participation in all club activities and events.
- Encourage and welcome all members of the club. Ensure that the rules of the club and affiliated bodies are followed.
- Ensure that the club has appropriate, up-to-date Procedures and Policies in line with their governing bodies
- Ensure that all relevant documents are either circulated to participants in advance or are to hand at the meeting.
- Be diplomatic and smooth over differences of opinion if they arise
- Make sure that any necessary decisions are taken with a vote if needed. If votes are divided equally, the Chair may have the casting vote
- Summarise decisions and action points at the end of the meeting
- Delegate duties as appropriate to fellow committee members /club members/sub-groups Treasurer etc.
Treasurer
- To monitor club expenditure, managing the club funds and bank account.
- Keeping an accurate and true record of all transactions and pay all bills and expenses in a timely manner.
- Work with EGCA Membership Secretary, collect annual subscriptions and manage the payment of WCU membership.
- At year end, produce a brief financial report, to be presented at the AGM.
Secretary
- To plan and organise committee meetings and general club meetings; call for the next meeting including collating and distributing of agenda items and club calendar pre-meeting.
- In a timely manner, communicate any action plan(s) of the meetings held.
- To organise the AGM agenda, related papers, and committee elections and to ensure the relevant papers are distributed in advance.
- Keep ‘safe’ permanent records (paper/electronic) of AGM and committee meeting minutes and to ensure that the club policies and documents are up to date (alongside the Chair)
- Be a point of contact for club correspondence and liaising with club “host” venue, and outside organisations
- To develop and maintain the club website.
- Be the point of contact for suggestions and any issues raised by the users and with the web provider.
- To keep the club membership updated with news and events throughout the season.
- To collate and submit articles to identified chess blogs, other related group social media and local press where appropriate under guidance of the committee/chairperson.
- To represent the club and to promote the club to outside bodies, other clubs and to members: to act as a focal point for information and encourage participation in all club activities and events.
Junior Co-Ordinator (new in 2023-24)
- To act as primary point of contact for all U18’s enquiries to the club
- To help with any duties above pertaining to U18s in the club
- Help the committee organise club nights and training sessions to help junior members improve
- Manage the rota supporting the junior club portion of club night.
Team Captains
- Select teams for each EGCA league match.
- Ensure selected players are aware of the match, date, venue and transport arrangements.
- Submit matchcard asap after match has been completed.
- In the event of a postponement liaise with captain of the other team to rearrange match within 10 weeks of the original date, advise Ex.Dir of postponement asap and confirm reason for postponement. When a new date has been agreed confirm details to Ex.Dir.
